AI Employees

Hire a workforce that never clocks off.

Not chatbots. Employee-grade AI workers that own their role and answer to a person, handling reception while your team does the high-value work.

One rota, no handover: every role works every hour of every day.

In short

An AI employee is an employee-grade AI worker 7 Minds Systems builds, trains, and runs for you, with a defined role and a reporting line. Unlike a chatbot, it qualifies each enquiry, books it into your calendar, logs it, and follows up for weeks, day and night, from about £3,000 to set up plus £700 a month.

The workforce

A team that never clocks off.

Each AI employee owns one job and does it relentlessly. Together they run the front of house your firm could never staff day and night. Unlike a chatbot, which answers a question and stops, an AI employee owns a job end to end: it greets, qualifies, books, logs, and follows up, working to an outcome rather than a script.

Select a role to see how it works.

Lead Qualifier

Every enquiry meets the Lead Qualifier first. It opens the conversation, asks the questions your team would ask, and works out whether this is a real opportunity before anyone on your side spends a minute.

Where a human steps in. Anything outside its brief, or any regulated decision, goes to a named person and is never decided by the AI.

What it handles

  • Greets each enquiry the moment it arrives, on web, email, or chat
  • Confirms scope, budget, and fit using your own qualifying questions
  • Routes genuine matters to the right person, with the context attached
  • Parks or politely declines the rest, so your inbox stays signal

Not a chatbot

A widget answers. An employee gets the job done.

An AI employee is an employee-grade AI worker with a defined role, a remit, and a reporting line: where a chatbot answers a question and stops, an AI employee owns the job end to end, qualifying the enquiry, booking it, recording it, and following up for weeks. The difference is not the chat box. It is what happens after the first reply.

A typical chatbot
  • Answers from a script, then hits a wall.
  • Hands you a transcript and leaves the work to you.
  • Cannot book, log, or follow up on its own.
  • Goes quiet the moment a question is off-script.
A 7MS AI employee
  • Owns a role and works to an outcome, not a script.
  • Qualifies, books, and records without you touching it.
  • Follows up the quiet leads for weeks, in your voice.
  • Knows its limits and routes the hard ones to a person.

An off-the-shelf chatbot is software you license and operate yourself. Our AI employees are staff we build, train, and run for you. A chatbot deflects questions; an AI employee qualifies the lead and books the work.

A chatbot deflects questions. An AI employee works the lead. Both have a place; the table shows where each one earns its keep.

One enquiry, one employee

Watch one lead handled end to end.

A message lands at two in the morning. By the time you read this, the same employee has qualified it, booked it, logged it, and lined up the follow-up, without waking a soul.

  1. 01Message arrives
New enquiry, 02:14Hi, do you take new clients? Saw your site and wanted to ask about getting started.

Picked up the moment it landed

  2. 02Qualified, in your words
ReceptionistHappy to help. Can I ask what you are looking for, your rough budget, and how soon you need to start?

    Need, budget, and intent confirmed

  3. 03Booked and logged
SchedulerYou are booked in for Thursday at 10:00. It is in the calendar and saved against your record.

In the calendar, logged to the CRM

  4. 04Followed up
NurturerLooking forward to Thursday. I will check in beforehand, and I am here if anything changes in the meantime.

Chased to a yes, not left to go cold

One enquiry, start to finish

What happens between midnight and your morning.

An employee owns the job end to end. While the office is dark it greets, qualifies, books, and follows up, so you wake to work already won rather than a queue to chase.

55%

of 433 B2B firms took more than five working days to reply to an enquiry, or never replied at all (Drift Lead Response Report, 2017). This is the gap an employee closes the moment a lead lands.

  1. 01

    An enquiry lands

Someone fills the form, sends a message, or asks the site a question, often at night or over the weekend. The employee picks it up the moment it lands, not the next working day.

  2. 02

    It qualifies, in your words

It confirms what they need, their budget, and their intent, in your tone of voice. The serious enquiries are sorted from the tyre-kickers before they reach you.

  3. 03

    It books and records

A real appointment goes straight into your live calendar, with the details logged in your CRM. No double-booking, no notes lost on a sticky pad.

  4. 04

    It follows up, for weeks

The leads that go quiet are chased professionally until they book or bow out. The work a busy team forgets to do is the work this never drops.

The role that answers the moment an enquiry lands is the AI receptionist. The same workforce, shaped to the rules of your field: see it in your industry, read what it has delivered, or price it against a hire in the ROI calculator.

An employee that answers while the enquiry is still warm is live in weeks, not a recruitment cycle. Book a strategy call.

Before you hand over reception

Built for firms that cannot get this wrong.

Where does our client data go, and who can see it?

It stays inside the systems you already trust. Enquiries flow into your own CRM and calendar, not a shared pool. We work to the principle of least privilege: each AI employee is given access only to what its job needs, and nothing it touches is used to train a public model.

Can you keep the data in the UK or EU?

Yes. Where your regulator or your clients expect UK or EU data residency, we configure the workforce to process and store enquiry data in that region and name the providers in writing before we build. If residency is a requirement for you, say so on the first call and it becomes part of the spec.

Are you GDPR compliant?

We build to UK GDPR. That means a lawful basis for every enquiry captured, clear consent wording on your forms, a data processing agreement between us, defined retention, and the ability to delete a record on request. The branch is designed to make your data obligations easier to meet, not harder.

Is there a human in the loop, or is the AI left unsupervised?

There is always a human accountable. The AI employees handle the volume, but anything that needs judgement is escalated to you, and the documents and replies that matter are reviewed before they go out. You set the rules for what the workforce can do on its own and what it must hand over for sign-off.

How do you keep the AI accurate and on-brand?

Each AI employee is trained on your services, your prices, and your tone, and constrained to what you have approved rather than left to improvise. We monitor the conversations, correct the edge cases, and tune the voice as your business changes, so it answers like your firm would, not like a generic bot.

Questions

What owners ask about hiring AI.

How is an AI employee different from a chatbot?

A chatbot answers a question and stops. An AI employee owns a job end to end: it greets, qualifies, books into your calendar, logs to your CRM, and follows up for weeks. It has a role and a remit, and it works to an outcome rather than a script.

Will it sound like us, or like a robot?

Like you. We train each employee on your tone, your services, and the questions your customers actually ask, so replies read as if a sharp member of your team sent them. Anything outside its remit is handed to a person cleanly.

What does it cost compared to hiring?

It is priced against headcount, not software. A single AI employee is around £3,000 to set up and £700 a month, illustrative until we scope your role, which is a fraction of a salaried hire and works every hour of every day with no recruitment, holiday cover, or ramp-up. The current figures, in your local currency, are on the pricing page.

Where does our data go, and is it GDPR-compliant?

Your enquiry data is processed under a written agreement, used only to run the employee you hired, and never sold or used to train public models. You remain the data controller and we act as your processor, with lawful basis, retention limits, and an audit trail built in. UK or EU data residency is available on request.

Does a human still oversee it?

Yes. The employee handles the routine and is built to recognise its limits. Anything needing professional judgement is routed to a named person with the full context, and you approve how the employee speaks and what it must never advise on before it handles a single live enquiry.

What happens when something is genuinely complex?

The employee handles the routine and recognises its limits. When a query needs human judgement, it routes it to the right person with the context attached, so nothing is fumbled and nothing is missed.

How quickly can one be working?

Faster than a hire. We scope the role, train it on your business, connect it to your tools, and have it live and handling real enquiries in weeks, not the months a recruitment cycle takes.
